Privacy policy

This policy explains what information we collect, why we collect it, and how we protect it.

Who we are

Nominate A Veteran is a 501(c)(3) public charity based in Northwest Arkansas. We accept nominations nationally and help veterans and their families with practical, everyday needs.

Information we collect

When you nominate someone, we collect information about you, the veteran or surviving family member, military service, contact details, the need, estimated cost, urgency, and the story you choose to share. We may also collect photos, contractor estimates, a DD-214, valid identification, and other verification records.

A nomination often contains information about another person. If you submit information about a veteran or family member, you confirm that it is accurate to the best of your knowledge and that the person is aware of the nomination unless you are nominating yourself.

How we use nomination information

We use nomination information to review eligibility, contact the people involved, verify service and need, make assistance decisions, prevent fraud or misuse, keep records of our work, and connect people with other veteran resources when possible.

Every nomination is reviewed by authorized board members. Contractors, vendors, or service providers may receive only the information needed to evaluate or complete approved work. We may also disclose information when required by law or necessary to protect a person’s safety or our organization.

Private documents

DD-214s, identification documents, estimates, and other sensitive nomination files are stored in private systems. They are not given public links. Access is limited to authorized board members through time-limited access links.

Stories and photographs

Honor stories and photographs are kept private while the board reviews them. We publish a story or photo only when the submitter gave permission and an administrator approved it. We may edit published material for length, clarity, privacy, or safety.

Donations and donor information

Donations and event tickets are processed by Zeffy under its own privacy terms. We may receive information needed to acknowledge and administer a gift. We never sell donor information, and we do not share donor information for another organization’s marketing.

Newsletter and text messages

If you request email updates, we store your email address and any optional name or ZIP code you provide. If you separately check the SMS consent box, we also store your phone number and the consent language shown when you signed up. Message and data rates may apply. Reply STOP to stop text messages.

You may unsubscribe from email updates using the link in an email. Consent to receive messages is not a condition of donating, nominating a veteran, or receiving assistance.

Retention

We retain successful and unsuccessful nominations for as long as reasonably needed to document decisions, prevent duplicate or fraudulent requests, meet legal and financial obligations, evaluate repeat assistance, and improve our work. Sensitive documents may be deleted earlier when they are no longer needed. An unsuccessful nomination is not published.

Security and choices

We use reasonable administrative and technical safeguards, but no online system can guarantee complete security. You may ask to access, correct, or delete information you submitted, subject to legal, safety, fraud-prevention, and recordkeeping needs.

Children and outside services

This website is not directed to children under 13. Links to Zeffy, government resources, and other outside services are governed by those services’ own terms and privacy practices.
